What needed solving
Property managers and general contractors have to keep a valid certificate of insurance on file for every vendor they work with. In practice that means chasing PDFs by email, reading each one by hand to check the coverage is right, and hoping nobody notices when a policy quietly lapses. It is slow, easy to get wrong, and the cost of a gap in coverage is high.
How we tackled it
We designed CertGuard to take the manual reading and chasing off people's plates without taking away their control. Vendors submit through a link with no account to create, the system reads and validates each certificate, and renewals are followed up automatically before anything expires. A person still makes the final call on anything unusual.
The build
- A no-login upload link so vendors can submit a certificate in seconds
- AI validation that reads each certificate and checks the coverage against what is required
- A renewal engine that tracks expiry dates and chases vendors before a policy lapses
- A dashboard where the team sees status across every vendor at a glance
Choices that mattered
No login for vendors
The people submitting certificates are not the customer, so any friction means they do not submit. A secure link removes the account step entirely.
AI reads, a person decides
The model extracts and validates coverage, but edge cases are flagged for a human rather than silently approved, so trust in the system stays intact.
